Site submission privacy notice
This notice explains how Volterra Advisors handles information submitted through Register a Site and Calls for Sites.
What we collect
We collect the business contact details, company and role, site information, authority acknowledgement and other information you choose to submit. We also record the submission date, source or campaign, reference number and limited referral information. Technical information is processed to operate the service, prevent abuse and investigate errors.
How we use it
We use submissions to review site opportunities, contact submitters, verify or update information, and consider sites against current and future customer requirements. Registration does not automatically publish a site, establish representation or guarantee a match. Submitting this form does not enroll you in a newsletter.
Access and sharing
Authorized Volterra personnel and service providers that host and operate our systems may process submissions. These systems include AWS, HubSpot and Microsoft 365. We review and confirm appropriate authorization before sharing a site brief with a client or publishing a site. A submission alone does not authorize those disclosures. We may also disclose information when required by law or to protect the security and lawful operation of our services.
What to submit
Submit only information you are authorized to share and that does not require confidential treatment. Do not include sensitive personal information or confidential documents. Approximate locations and site references are welcome. This form does not establish an NDA.
Retention and updates
We review active site information at least every six months and reassess records after 24 months without verified activity. These are review intervals, not automatic deletion dates. We retain information while needed for a documented business purpose, subject to legal, contractual or preservation requirements.
You may request a correction or removal. After verifying your identity and authority, we aim to complete ordinary removal from active systems within 30 days, subject to documented exceptions. Recoverable backups, versions and copies retained for a continuing requirement may remain for their applicable retention periods. Removing online access does not recall copies a recipient has already downloaded or printed.
Website technology
The form uses a temporary browser-session receipt so you can view confirmation; it does not store the submitted form details in browser storage. Website analytics may use cookies and similar technologies. Form fields are excluded from automatic form collection; the information you submit is delivered through our intake service.
